WalCo Responds

Who is this manual for?
1.Walworth County service agency providers.
2.Businesses, organizations or individuals that utilize email and desire to make our Walworth County communities better places to live for all concerned.

Introduction
WalCo Responds connects traditional and non-traditional businesses and organizations with service providers who deal with people needing services in an effort to fill unmet needs that would not get met otherwise.

Examples:
A county caseworker has just bought new appliances for her kitchen. The stove is in poor condition and will be discarded. The refrigerator is in good shape. She will contact WalCo Responds to let the agency service providers know that a refrigerator is available and who to contact for further information
An agency which provides food to the needy has a client who does not have a refrigerator. The agency will contact WalCo Responds, by email, stating the need.

Messages are as follows:

Type A Message
A Walworth county caller has a refrigerator to give away.

Type B Message
Anything involving a need for household items, clothing etc.

CSA / Community Service Announcement
A seminar that is open to & would be of benefit to those in the community

ALL REQUESTS MUST COME DIRECTLY FROM AN AGENCY, CASEWORKER, CHURCH OR EMPLOYEE ASSISTANCE PROGRAM.

WalCo Responds Procedures:

Type A (Donation, Give away)
A subscribing affiliate of WalCo Responds contacts us with information of a donation via email.
Subject line must read: WalCo Responds Type A: Give Away
Email - walcoresponds@wicircleoffriends.org

WalCo Responds staff approves the information and distributes a Type A message to the WalCo Responds agency service providers email list. Service providers review the message and determine if they have a client that is in need of the donation. Service provider then contacts their client with the message and arrangements are made to put the client in touch with the donor for pick up.
Service provider contacts WalCo Responds that the donation has been accepted
WalCo Responds sends out a message that donation is no longer available.
WalCo Responds archives record for reporting purposes.

Type B (A need for household items, clothing etc.)
Service provider verifies unmet client need.
Service provider contacts WalCo Responds with information of the need via email.
Subject line must read: WalCo Responds Need Type B
Email - walcoresponds@wicircleoffriends.org

Include the need, contact person at agency and whether the contact should be made by email or phone.
Service provider contacts WalCo Responds when the need has been met.
WalCo Responds sends out a message that need has been met to all the affiliates listed.
WalCo Responds archives record for reporting purposes.

It is important to send another e-mail to WalCo Responds when a need has been met, also when a give away has been claimed. WalCo Responds needs this information for two purposes.
1. Let the other subscribers know the need has been met.
2. To track the information for reporting purposes.
